What to automate first in a small business
Last updated 23 October 2026Most small businesses already use ChatGPT. Far fewer have AI or automation built into how the business actually runs. The gap is not the technology. It is knowing what to automate first.
Start with the work, not the tool
Do not start by picking an AI tool and looking for a use. Start by writing down what your team does every week. For each job, note:
- How often it happens (times a week).
- How long it takes each time.
- What goes wrong when it is done badly or late: a lost order, a missed payment, an angry customer.
Multiply the first two for hours, then weight by the third. The jobs at the top of that list are your candidates. Our hours-back calculator does the first part for you.
Good first jobs to automate
These usually pay back fastest in small businesses:
- Logging orders. Orders that arrive on WhatsApp, email or a website form get written into one sheet or system automatically, instead of being copied by hand.
- Invoices and reminders. An order creates the invoice; an unpaid invoice triggers a polite reminder.
- Supplier bills. Bills are read, checked against what you agreed to pay, logged and reminded before they are due. See our live demo.
- The same customer questions. Prices, delivery areas, opening hours and order status answered instantly, with a person one tap away.
- Daily and weekly numbers. Sales, orders and costs pulled into one dashboard each morning instead of built by hand on Friday night.
Keep a person in the loop
Automation should take the typing, not the judgment. Anywhere money or customers are involved, build in a human check: a person approves an unusual invoice, a person takes over a chat that goes off script. Businesses have been held responsible for what their chatbots promised customers, so a bot with no hand-off is a risk, not a saving.
Mistakes that waste money
- Buying a tool before mapping the job. You end up paying for software nobody uses.
- Automating a broken process. If the manual process is messy, automation makes it messy faster. Tidy it first.
- Silent failures. Every automation should tell someone when it breaks. Otherwise you find out from a customer.
- Replacing the spreadsheet your team trusts. Often the best first build sits on top of the sheet instead of replacing it.
A simple first project
Pick one job from the list, map how it works today, automate the boring part, keep a person for the decisions, and measure the hours saved after a month. Then pick the next one.
If you want the list ranked and priced for your business, that is exactly what our AI opportunity audit does in a week.
